Duties and responsibilities:

  • Answer and direct phone calls
  • Check and respond to all emails for Managing Director, company and shipping emails.
  • Plan meetings and take detailed minutes for management
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Manage calendar for Managing Director and factory
  • Remind management of important tasks and deadlines
  • Open, sort and distribute incomingcorrespondences
  • Make bank deposits
  • Provide all export functions to include but not limited to:Booking of container, Bill of Lading,Asycuda, Invoicing, Packaging List, coordinate trucking of container and 10+2 form. Custom Broker  liaison
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain an electronic and hard copy filing system
  • Update and maintain office policies and procedures
  • Maintain contact lists
  • Submit and reconcile expense reports
  • Provide general support to visitors
  • Act as the point of contact for internal and external clients
  • To receive and record and all incoming correspondences, payments, invoices etc.
  • Liaison with vendor’s
  • Operate as collections officer on loan clients
  • Secretarial duties.
  • Some accounting functions such as invoice creations and issuance
  • Procurement ofoffice and factory supplies (office, packaging materials, ingredients etc) and research new deals and suppliers
  • Cleaning of office and making coffee
  • Any other duty deemed necessary

Qualifications

Education: High School degree (Including: CXC Math & CXC English), Must understand Spanish and be able to correspond in language.

Experience: additional qualification as an Administrative Assistant or Secretary will be a plus

Skills/ Qualities

  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers, scanners, PBX systems and fax machines
  • Proficiency in MS Office(MS word, MS Excel, and MS PowerPoint)and Adobe Reader
  • Understanding of ASYCUDAsystem
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
